Document management

A document management system is where a company keeps the files it has to find again: signed agreements, invoices, HR files, project folders and policies. The cloud versions add sharing links, version history, permissions by team and search that reads inside files, so a person can type a client name and see the proposal, the contract and the latest invoice together.

Most of the tools listed here started as storage and sharing services and grew governance features later, while a few started as document management for regulated work and moved to the cloud. That history shows in how they organize content. Folder-first tools such as Box, Dropbox and Google Drive feel familiar from day one. Metadata-first tools such as M-Files ask you to describe each document by type, client or project, which takes more setup but makes the same file easy to find from several angles.

AI features now sit on top of most of these systems. They answer questions about a folder, summarize a long file, suggest tags and pull fields like dates and amounts. All of that works within the permissions the system already has, which is the part to check first. If a folder is shared with the whole company by mistake, an AI answer can surface its contents to anyone who asks.

Data residency and access control deserve their own line in any evaluation. Ask where files are stored and if you can pick the region, how single sign-on and multi-factor login are enforced, what the admin log records, and how external sharing can be limited by domain or expiry date. Finance and legal teams also need retention settings and legal holds, either built in or through a records tool.

A practical way to choose is to run a short pilot with one team and one real workflow, such as month-end invoices or a client onboarding folder. Move a sample of real files, set up the permissions you would use in production, and ask the team to find ten documents they needed last month. The tool that makes those searches fastest without widening access is usually the right one.

Migration is where most projects slip. Old file servers hold duplicates, broken shortcuts and folders that only one person understands. Before moving anything, agree on what gets archived, what gets deleted under your retention rules and what moves as is. Vendors and partners often supply migration tools that keep version history and permissions, but someone on your side still needs to check a sample of folders after the move and confirm that nobody gained access they did not have before. Plan for a few weeks where both systems run, with a clear date when the old one becomes read only.

Questions about document management

Do we need a document management system if we already use shared drives?

Shared drives cover storage and sharing. A document management system adds versions you can trust, approval workflows, metadata, audit logs and retention rules. If teams keep asking which file is final, or audits need proof of who changed what, the extra structure starts to pay off.

Is folder-based or metadata-based organization better?

Folders are easier to adopt because people already know them. Metadata takes more setup but lets one document appear in several views without copies. Many teams use folders for projects and add a few metadata fields, such as document type and client, where search matters most.

How do AI features handle permissions?

The tools listed here say their AI answers only use content the person can already open. That makes cleaning up permissions part of any rollout. Review broad sharing links and "everyone" groups before turning AI features on for the whole company.

Can we choose where our documents are stored?

Some vendors let you choose a storage region or offer separate data centers for certain countries, often on higher plans. Ask for the list of regions, whether backups stay in the same region, and where AI processing happens, since that can differ from where files are stored.
